Privacy policy

1. What we collect

• Contact details you give us through the quote form, WhatsApp, Telegram, WeChat or email: name, company, phone number, email address, country, and how you heard about us.
• Shipment details: description of goods, weight and dimensions, supplier details, delivery address and the consignee's name and phone number.
• Commercial records: quotes, invoices, payment references and delivery notes.
• Identity and compliance documents where the law or a carrier requires them, for example a trade licence, import code or identity document for customs clearance in your name, or know-your-client checks for sanctions and export-control compliance.
• Correspondence with you on the channels above.

We do not use analytics or advertising cookies on cargixhub.com, and the site loads no third-party tracking scripts. Our hosting provider records standard server logs (IP address, time, page, browser) for security and error diagnosis. The freight calculator runs in your browser and does not send your inputs to us unless you request a quote.

2. Why we use it

• To answer your inquiry and prepare a quote (pre-contractual steps at your request).
• To perform the contract: booking, consolidation, carriage, customs clearance, delivery and invoicing.
• To meet legal obligations: customs and tax records, anti-money-laundering, sanctions and export-control checks.
• For our legitimate interests: keeping a record of shipments and correspondence, preventing fraud and misuse of the quote form, improving our services.

We do not send marketing emails unless you ask for them, and we never sell personal data.

3. Who receives it

• Carriers, consolidation warehouses and delivery partners in China, the UAE and Saudi Arabia, to the extent needed to move and deliver your cargo (typically the consignee's name, phone number and address, and the shipment details).
• Customs brokers and customs authorities where clearance is made in your name.
• Banks, for payments.
• Service providers that host our systems: Cloudflare (website tools, forms and our client database, servers in the EU and the US), Vercel (website hosting), Purelymail (email). They process data on our instructions.
• Authorities, where the law requires it.

4. International transfers

Because our team works in China and the UAE and our systems are hosted in the EU and the US, your data is transferred between these countries. We keep transfers to what the service requires and rely on the contract with you and on our providers' data-protection commitments.

5. How long we keep it

• Inquiries that do not lead to a booking: 24 months from the last contact.
• Quotes, bookings, invoices, delivery records and customs documents: 5 years after the shipment, as required for tax and customs purposes.
• Know-your-client documents: 5 years after the end of the business relationship.
• Server logs: up to 30 days.

6. Your rights

You can ask us what data we hold about you, have it corrected, ask for it to be deleted where we are not required to keep it, object to processing based on our legitimate interests, or ask for a copy in a portable format. Write to quote@cargixhub.com; we answer within 30 days. If you are in the UAE, Saudi Arabia, China or the European Union you may also complain to your data-protection authority.

7. Security

Access to our client database is limited to named team members and protected by login with a one-time code. Data in transit is encrypted. We keep only the documents we need and delete the rest at the end of the retention period.

8. Children

Our services are for businesses and adult individuals. We do not knowingly collect data from children.

9. Changes

We will post any change to this policy here with a new version date. Material changes to how we use your data will be communicated to active clients directly.
